Terms and Conditions for the Welwyn Garden City Craft and Farmers Market
Welcome to the Welwyn Garden City Craft and Farmers market. These terms and conditions govern participation in the market to ensure a positive experience for traders, visitors and organisers alike. By registering and participating in the market, you acknowledge and agree to the following terms and conditions:
1. Booking and Payment
1.1 The fee for a single pitch (maximum 10 square metres) is £35 for the first market and £30 per market thereafter. The fee for larger stalls will be agreed on an individual basis.
1.2 Bookings must be made via this booking form. The booking system will be open 4 months prior to the first market of each of the three specific seasons: Spring (March, April, May), Summer (June, July, August, September), Winter (October, November, December). All traders must pay their pitch fee three months prior to the event. Non-payment within this timeframe will result in the cancellation of the booking and loss of an allocated pitch on that market. Please note that you are not booked until a final booking form and full payment is received.
1.3 Payment Methods: Payments can be made via bank transfer.
1.4 Refund Policy: All pitch payments are non-refundable but the organisers may, at their discretion, carry forward a pitch fee to the next market if more than 14 days’ notice is given of non-attendance. If the market is cancelled by the organisers – full refunds will be offered or payment can be offset against a future trading date. 2. Trading hours
2.1 Traders must arrive and complete their setup between 07.00AM and 08.30AM. Late arrivals may forfeit their pitch without refund.
2.2 The market operates from 08.30AM to 16.00PM. Traders must remain open for the entire duration unless otherwise approved by the organisers.
2.3 Departure Time: Traders must vacate their pitch and remove all belongings by 17.00PM.
2.4 Pitches must be left clean and free of debris. Any damage to the area may result in additional charges.
3. General conditions
3.1 Pitches are assigned at the discretion of the organisers and may be subject to change.
3.2 All goods sold must align with the market’s ethos of locally produced, handmade, or ethically sourced items. The sale of prohibited or illegal items is strictly forbidden.
3.3 Traders must conduct themselves professionally and courteously towards customers, other traders, and market staff.
3.4 All traders must hold valid public liability insurance of at least £5,000,000.00 and provide proof upon request.
3.5 For health and safety reasons all stalls must be set up at least 15 minutes before the market starts and not dismantled before the market ends. If you are going to be late on the day, please phone prior to the event starting. Traders are responsible for the safety and maintenance of their stall. Gazebos must be weighted and we reserve the right to request the immediate removal of unweighted gazebos from the market area.
3.6 It is your responsibility as a trader for all the relevant required documents to be up to date and in place for your particular trade/craft/business. We may ask to see these documents at any point during the booking process. This includes insurance, hygiene certificates, and other specific documents depending on your particular product.
3.6 The market organisers are not liable for any loss, theft, or damage to traders’ goods or equipment.
3.7 Although the organisers will make reasonable efforts to avoid exactly the same products being sold by more than one trader, there may be occasions when this is unavoidable or otherwise in the interests of the market as a whole.
